How to Search and Filter in the Shopify Admin

The Shopify admin has two kinds of search. The search bar at the top of every page (Ctrl + K, or Command + K on a Mac) finds anything in your store: an order, a customer, a product, an app, a setting. The search bar on list pages like Orders and Products is where you filter: type a term, add conditions as chips, and save the combination as a view so you never build it twice.

In April 2026 Shopify brought search, filters and saved views together in one bar on the Orders, Products, Customers, Discounts, Collections and Metaobjects pages. This guide covers how both kinds of search work now, the syntax that makes filters precise, and the saved views worth setting up first.

The short version

  1. To find one thing fast: press Ctrl/Command + K anywhere in the admin and start typing.
  2. To narrow a list: open Orders, Products or another list page and type in its search bar. Press the spacebar to add a filter, which appears as a chip.
  3. To combine conditions: a space between filters means and, a comma between values means or, and quotation marks match an exact phrase.
  4. To keep it: click Save, name the view in the Save view as dialog, and click Save again.

How to search in the Shopify admin

The top search bar looks across your whole store. On desktop:

  1. Click the search bar, or press Ctrl + K (PC) or Command + K (Mac).
  2. Type a name, order number, email, SKU or setting. Results are grouped into Apps, Customers, Orders, Products and Sales channels by default.
  3. To search a specific type, type / or use the filter icon. You can narrow to blogs, discounts, draft orders, locations, markets, metafields, metaobjects, navigation, pages, reports, segments and more.
  4. Up to seven results show at first. Select Show # more to see more.
  5. Can't find it? The bottom of the results has a link to ask Sidekick instead.

In the Shopify mobile app, tap the search icon. The default filters there are All, Orders, Products and Customers, and you can scan a product barcode with your camera instead of typing.

How to filter admin search results

List pages are where filtering does its real work. On Orders, Products, Customers, Discounts, Collections and Metaobjects, the search bar, filters and saved views now share one line:

  1. Type a search term. As you type, Shopify suggests matching filters.
  2. Press the spacebar to add a filter. Each filter becomes a chip in the bar, like Fulfillment status is Unfulfilled.
  3. Pick is or is not. "Delivery status is In transit" shows only orders in transit; "is not" shows everything else.
  4. Add a second filter to narrow further, or add a second value with a comma to widen.
How Shopify admin filters combine: a space between filters means and, a comma between values means or, is not excludes, and quotation marks match an exact phrase SPACE = AND Both must be true Payment status is Unpaid and Fulfillment status is Unfulfilled COMMA = OR Either value counts Payment status is Unpaid , Partially paid IS NOT = EXCLUDE Leave these out Delivery status is not In transit tag:new AND NOT tag:"new zealand" "QUOTES" = EXACT Match the whole phrase "gift wrap" Not every order that says "gift" or "wrap" somewhere.
Four rules cover almost every filter you'll build in the Shopify admin.

Written out, those rules look like the examples in Shopify's help centre: payment-status:Partially paid,Unpaid finds orders that are either, while payment-status:Unpaid fulfillment-status:Unfulfilled finds orders that are both.

Other pages use the same bar with their own filters. Products, for example, can be filtered by vendor, tag, status, category, sales channel, type, collection, catalog, gift card, combined listings and metafields. Content → Files has its own set: file size, file type, Used in and alt text, which makes "every image with no alt text" a two-click list. Collections got their own overhaul too; see Shopify's rebuilt collections.

Advanced search syntax

If you'd rather type than click, Shopify's search syntax works in the bar too. The product search examples from Shopify's help centre:

You type You get
title:Pitcher Products with "Pitcher" in the title
title:ani* Titles starting with "ani" (the * is a wildcard at the end of a word)
tag:new Products tagged "new"
tag:new AND NOT tag:"new zealand" Tagged "new", but not "new zealand"
metafields.custom.material:silk Products whose material metafield is silk

Two rules trip people up: there's no space after the colon (tag:gift, not tag: gift), and phrases with spaces need quotation marks. The full grammar, including OR, - for exclusion and comparisons like :>, is in Shopify's search syntax reference. It's written for developers, and not every field is searchable on every admin page, so test before relying on it.

Save a filtered list as a view

A saved view is a named filter you can come back to with one click. On a list page with the enhanced search bar:

  1. Build the filters you want, and adjust columns if the page lets you.
  2. Click Save.
  3. In the Save view as dialog, give the view a name and click Save.

To make a variation without changing the original, open the view, change the filters and choose Save → Save as new view. You can also rename, duplicate and delete your own views. Default views can't be deleted, and deleting a custom view can't be undone. Creating and managing views only works on desktop.

Views worth setting up first

The best saved views are the lists you rebuild every week. A few that earn their place in most stores:

  • Orders to ship today: fulfillment status is Unfulfilled, payment status is Paid.
  • Money to chase: payment status is Unpaid or Partially paid.
  • Gift and special-handling orders: tagged with gift (or whatever tag your team uses).
  • Draft products: status is Draft, so nothing sits unfinished for months.
  • Products missing from a channel: filter by sales channel to see what isn't published where you expect.
  • Images with no alt text: in Content → Files, filtered by alt text. Good for accessibility and search.

Name views for the job, not the filter: "Ship today" is easier to find than "Unfulfilled + Paid". If you use collections heavily, our guide to smart collection conditions uses the same kind of tag discipline.

Clear your Shopify admin search history

The top search bar remembers your recent searches. To clear them on desktop, open search and click Clear history. In the mobile app, tap the search icon and tap Clear. Your history is stored on your device, so other staff members with their own logins can't see it, and clearing it on your laptop doesn't clear it on your phone.

Looking for storefront search filters?

Many people searching for "Shopify search filters" actually mean the filters shoppers see on collection and search pages. Those have nothing to do with the admin. They come from Shopify's free Search & Discovery app: go to Apps → Search & Discovery → Filters → Add filter. You can use availability, price, product type, tags, vendor and category, plus product options and metafields, up to 25 filters, on any theme that supports them. Details are in Shopify's storefront filters guide.

Troubleshooting

  1. There's no filter option. Not every admin page has the new bar yet. Blog posts, catalogs and marketing campaigns, for example, still use the older tabbed views with filters below the search box.
  2. The search returns nothing. Check for a space after a colon, missing quotation marks around a phrase, or an old filter chip still sitting in the bar.
  3. Too many results. You've probably used a comma (or) where you meant a space (and).
  4. My sort order keeps resetting. On desktop, sort order isn't kept with a view and resets when you leave the page. The mobile app can remember it.
  5. I can't create a view on my phone. Views can only be created, renamed and deleted on desktop.
  6. A staff member can't find something you can. Staff permissions control which sections of the admin each person can access, so check the role assigned to them.

Common questions

What changed in Shopify admin search in 2026?

Search, filters and saved views were combined into one bar on the Orders, Products, Customers, Discounts, Collections and Metaobjects pages. You can save any filter as a named view, save edited copies as new views, use the spacebar, commas and quotation marks as shortcuts, and ask Sidekick to open a filtered view.

What is the keyboard shortcut for Shopify admin search?

Ctrl + K on Windows, Command + K on a Mac.

Does Shopify admin support advanced search?

Yes. Beyond the filter chips, you can type field searches like tag:new or title:ani*, and combine them with AND, OR and NOT.

How many items does a list show?

Fifty per page by default.

Can Sidekick filter lists for me?

Yes. Ask for what you want in plain words, such as unfulfilled orders over a certain amount from last week, and Sidekick takes you to the filtered view. It's worth checking the chips it applied before acting on the list.

Find yourself filtering for the same fixes every week? That's usually a sign the store itself needs tidying. Our list of what we see wrong in most Shopify stores we audit is a good place to start, and if you'd like a hand, talk to us.
